How Liverpool Street Works Centre collects, uses and protects personal information

2. Information we collect

Depending on the relationship and service, we may collect identity and contact details; date of birth and identification needed for registration or certification; employer or sponsor details; course choices, entry requirements and prior experience; attendance, assessment, qualification and certificate records; billing and transaction information; correspondence, complaints and feedback; accessibility or reasonable-adjustment information; website and device data such as IP address, browser, pages visited and cookie choices; and marketing preferences.

Information may come directly from the learner or customer, from an employer, sponsor or funding organisation, from our website and booking systems, from a payment provider, or from relevant awarding and certification organisations. Complete card numbers and security codes are normally collected directly by the payment provider and are not stored by us.

4. Special category information

Information about health, disability or accessibility may be special category personal data. We request only what is reasonably necessary to consider adjustments or deliver training safely. Depending on the circumstances, we rely on explicit consent or another lawful condition permitted by data protection law, alongside an Article 6 lawful basis. In an emergency, information may be used to protect vital interests. Consent may be withdrawn, although doing so may affect our ability to provide a requested adjustment.

5. Employer, sponsor and funded bookings

An employer, sponsor or funding organisation may give us learner information and receive relevant booking, attendance, progress, assessment or qualification information. The organisation should have authority to provide the information and should tell the learner how it will be used. We disclose only information reasonably necessary and lawful for the booking, funding, employment or training relationship.

6. Who we share information with

We may share relevant information with authorised staff, tutors and assessors; the applicable awarding, accreditation and certification organisations, including Highfield, NOCN or the Street Works Qualifications Register where relevant; employers, sponsors and funding organisations; website hosting, booking, email, customer-management, security, analytics and technical-support suppliers; payment processors and banks; accountants, insurers and professional advisers; and public bodies, regulators or law-enforcement organisations where disclosure is required or permitted.

Service providers may use information only for agreed purposes and must protect it appropriately. We do not sell personal information.

7. International transfers

Some technology providers may process information outside the United Kingdom. Where personal information is transferred internationally, we use an appropriate safeguard where required, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful mechanism. Normally 6 years after resolution, subject to the nature of the matter and legal limitation periods.

Marketing contacts and suppression records

Until consent is withdrawn, the contact opts out, or the information is no longer needed; a minimal suppression record may be retained to honour an opt-out.

Cookie and consent records

For the duration stated by the cookie tool or schedule and as needed to demonstrate the recorded choice.

We may keep information longer where necessary for a legal claim, safeguarding concern, investigation or binding awarding, funding or regulatory requirement. We securely delete or anonymise information when it is no longer needed.

9. Security

We use proportionate technical and organisational safeguards designed to prevent unauthorised access, loss, misuse, alteration or disclosure. Access is limited according to role and business need. No online or electronic system can be guaranteed completely secure, but suspected breaches are assessed and reported where the law requires.

10. Individual rights

Depending on the circumstances, an individual may ask for access to their personal information; correction of inaccurate information; deletion; restriction; objection to certain processing; portability of information supplied under contract or consent; withdrawal of consent; and information about international-transfer safeguards. These rights are not absolute and legal exemptions may apply.

11. Marketing

We may send information about relevant courses and services where the recipient has consented or where the law otherwise permits. Every marketing email will offer a simple opt-out. Necessary messages about an existing enquiry, booking, safety matter or qualification are service communications rather than marketing.

Our website is not directed at children. Where an agreed course accepts a learner under 18, we may communicate with a parent, guardian, employer or training sponsor and apply additional privacy and safeguarding measures appropriate to the learner’s age.
