Booking policy

Last updated: [DATE]

This booking policy explains how bookings for courses provided by Liverpool Streetworks Centre are handled.

It should be read together with our Cancellation and Refunds Policy and Privacy Policy.

1. Making a booking

Bookings can be made through:

  • Our online booking system.
  • Email or telephone.
  • An employer or organisation booking on behalf of one or more learners.
  • A written quotation for corporate or dedicated training.

When making a booking, you must provide accurate and complete information about the learner, the course required and any relevant entry requirements.

Submitting a booking form or payment does not guarantee a place until we have issued written confirmation.

2. Course availability

Course dates and availability shown on our website are correct to the best of our knowledge at the time of publication.

Places are subject to availability and may be allocated on a first-confirmed, first-served basis.

A course place is only secured when:

  • We have accepted the booking.
  • Any required payment or deposit has been received.
  • We have confirmed the course and date in writing.
  • Any required eligibility information has been supplied.

Where the booking system allows customers to submit a preferred date rather than reserve a fixed date, we will contact the customer to confirm availability.

3. Prices and VAT

Course prices will be displayed on the website, booking page or quotation.

Prices are [INCLUSIVE/EXCLUSIVE] of VAT unless stated otherwise.

The price applicable to a booking will be the price confirmed at the time the booking is accepted.

We reserve the right to correct obvious pricing or administrative errors before confirming a booking.

4. Payment

Bookings require [FULL PAYMENT/A DEPOSIT] at the time of booking unless another arrangement has been agreed in writing.

The remaining balance, where applicable, must be paid by [DEADLINE].

Payment may be made using [PAYMENT METHODS].

A booking may be cancelled or released if payment is not received by the stated deadline.

For employer or corporate bookings, payment terms may be set out separately in a quotation or invoice.

5. Booking confirmation

Once a booking has been accepted, we will send confirmation to the email address provided.

The customer is responsible for checking that:

  • The learner’s name is correct.
  • The correct course has been selected.
  • The course date and location are correct.
  • The correct employer or sponsoring organisation is shown.
  • Any entry requirements can be met.

Any error should be reported to us as soon as possible.

6. Joining instructions

Joining instructions will normally be sent before the course and may include:

  • Arrival and finishing times.
  • The training location.
  • Parking or travel information.
  • Required identification.
  • Personal protective equipment requirements.
  • Clothing or footwear requirements.
  • Course materials or preparation.
  • Assessment information.
  • Contact details for the training centre.

The learner and the person making the booking are responsible for reviewing and following these instructions.

7. Entry requirements

Some courses may have age, experience, qualification, identification, employment or other entry requirements.

The customer is responsible for checking the published course information and ensuring that the learner meets all relevant requirements.

We may request evidence before or during the course.

Where a learner cannot participate because they do not meet an advertised requirement or have not brought required identification or equipment, the booking may be treated as a late cancellation or non-attendance.

8. Learner information

The full legal name supplied for the learner must match any identification or existing qualification records used for registration and certification.

The customer must tell us promptly if any booking information changes.

Additional charges imposed by an awarding or certification organisation as a result of incorrect information may be passed to the customer where legally permitted.

9. Reasonable adjustments

Learners should tell us about any disability, accessibility requirement, learning need or reasonable adjustment as early as possible.

We will consider reasonable requests and discuss what support can be provided. We cannot guarantee that every requested adjustment will be possible, particularly where it would change an essential assessment requirement or create a health and safety risk.

Sensitive information will be handled in accordance with our Privacy Policy.

10. Attendance and punctuality

Learners must attend at the time stated in the joining instructions.

Late arrival, early departure or missed teaching or assessment time may prevent a learner from completing the course or being entered for an assessment.

In these circumstances, no refund will normally be provided and an additional booking or assessment fee may apply.

The exact attendance requirements for each course will be explained in the course information or joining instructions.

11. Conduct and safety

Learners must:

  • Follow reasonable instructions from tutors and staff.
  • Comply with health and safety requirements.
  • Behave appropriately towards staff and other learners.
  • Avoid conduct that disrupts training or puts anyone at risk.
  • Attend free from the influence of alcohol or non-prescribed drugs.

We may remove a learner from a course where their conduct is unsafe, abusive, discriminatory, disruptive or otherwise unacceptable.

A learner removed for misconduct will not normally receive a refund.

12. Assessments, results and certificates

Attendance does not guarantee that a learner will pass an assessment or receive a qualification.

Results and certificates may depend on:

  • Satisfactory attendance and participation.
  • Meeting the assessment standard.
  • Correct learner registration information.
  • Verification by an awarding or certification organisation.
  • Payment of all outstanding charges.

Estimated result or certificate times are not guaranteed where processing is controlled by a third-party awarding or certification organisation.

13. Course changes

We may need to change:

  • A tutor or assessor.
  • The room or training location.
  • The order or format of course content.
  • Course times.
  • A course date.

We will make reasonable efforts to minimise disruption and will notify affected customers as soon as reasonably possible.

Where we cancel or make a substantial change to a confirmed course, the options described in our Cancellation and Refunds Policy will apply.

14. Minimum course numbers

Some scheduled courses may require a minimum number of learners.

Where the minimum number is not reached, we may offer:

  • A place on an alternative date.
  • A place on another suitable course.
  • A credit towards a future booking.
  • A refund of the course fee paid.

[CLIENT TO CONFIRM WHETHER COURSES HAVE MINIMUM NUMBERS.]

15. Corporate and dedicated training

Corporate or dedicated training may be subject to a separate quotation, statement of work or booking agreement.

That document may contain different arrangements concerning learner numbers, location, equipment, cancellation, payment and expenses.

Where there is a conflict, the terms agreed specifically for the corporate booking will take priority.

16. Transfers, substitutions and cancellations

Requests to transfer a booking, replace a learner or cancel a place are handled under our Cancellation and Refunds Policy.

Requests must be made using [EMAIL ADDRESS OR METHOD].

17. Customer responsibility

The customer is responsible for:

  • Selecting the appropriate course.
  • Supplying accurate learner and billing information.
  • Checking course requirements.
  • Arranging travel and accommodation.
  • Attending at the correct date, time and location.
  • Informing us promptly about any problem affecting attendance.
  • Ensuring that employer approval or funding is in place.

18. Events outside our control

We will not be responsible for delays or changes caused by events outside our reasonable control, such as severe weather, transport disruption, power or internet failure, illness, venue closure, industrial action or government restrictions.

Where possible, we will offer a reasonable alternative in accordance with our Cancellation and Refunds Policy.

19. Statutory rights

Nothing in this policy excludes or restricts any rights that cannot legally be excluded, including applicable rights under UK consumer law.
